Terms and Conditions

By registering to attend the conference, delegates agree to the following terms and conditions:

Your registration and payment will be acknowledged via email with a confirmation and tax invoice. If you do not receive an email within 5 minutes, please check your junk/spam folder. If another copy is required, please contact the Conference Manager ([email protected]). Your registration is only confirmed after full payment of fees.

Payments must be made at the time of registration via the following methods:

  • Credit or Debit Card (Visa, MasterCard, JCB, AMEX)
  • QRIS Indonesia (supports payments from Indonesian banks and e-wallets such as Gopay, OVO, Dana, and ShopeePay).
  • Transaction fees may apply. The charge will appear as Politeknik Negeri Batam Events.

All cancellations must be made in writing via email to the Conference Manager. If a cancellation request is not received in writing, the registration will not be canceled, and any eligible refund will not be processed.

  • Cancellations received on or before 1 June 2025: Refund available, minus a service fee of IDR 300,000.
  • Cancellations between 1 June and 18 July 2025: Refund available, minus a 50% cancellation fee.
  • If accommodation is canceled on or after 18 July 2025: 100% of the total accommodation cost will be charged as a cancellation fee, and no refund will be applicable.

The organizing committee will follow the Indonesian Government’s latest health and safety guidelines. We ask for attendees’ cooperation in maintaining hygiene and social distancing where possible.

  • COVID-19 Testing & Vaccination: No proof of COVID-19 testing or vaccination is required for entry into Indonesia.
  • Mask Policy: Masks are optional, but recommended for individuals at higher risk
  • If you feel unwell, please do not attend the event and notify the Conference Manager ([email protected]) at least 24 hours prior to the event

We highly encourage all international attendees to have travel insurance in case of unexpected disruptions due to health concerns.

At any time prior to the conference, the schedule, sessions, and speakers may change without prior notice. The organizers reserve all rights to modify, postpone, or cancel the conference, including changes in venue, session times, and event dates.

By registering for the CDIO 2025 Asian Regional Meeting (ARM) in Batam, you agree to allow the organizing committee to use your personal information for registration purposes and notifications related to conference activities. By registering, you also agree to receive emails or printed communications from sponsors unless you specifically opt out by emailing the Conference Manager ([email protected]). The organizing committee does not sell, trade, or rent your personal information to third parties.

Most international attendees require a visa to enter Indonesia. You are advised to apply for your visa as early as possible, as processing may take 4-6 weeks.

  • Visa on Arrival (VOA): Available for eligible nationalities, valid for 30 days, extendable once.
  • e-Visa Application: Apply via evisa.imigrasi.go.id
